Case/Matter Management Systems

Basha Systems has extensive experience rebuilding Time Matters databases and designing feature packages for both specific legal practice areas and for utility functions. We will conduct a needs assessment, scope out the project, implement the changes, and train on usage and further customization.

Case Management Systems

Design Phase

During the design phase, we meet with attorneys and staff to identify needs and prioritize goals. Case management systems need to be designed to fit your environment. The best systems will mirror your current manual processes for handling client intake, docketing, and document creation. Basha Systems will prepare a implementation outline, setting forth the goals and steps necessary to achieve those goals.

Development Phase

Much work can be done off-site, or through remote desktop access, with minimal interference with attorney billable work. Once the design is chosen, changes to form styles, classification codes, triggers and chains can be prototyped in a separate database. When the prototype is done, those changes can be consolidated into a feature package and then brought into your live system.

Testing Phase

Basha Systems tests its designs with real data and real people. Staffed by real attorneys and real paralegals, Basha Systems knows what it is like to practice law. We first test on our own model database. Then, we will work with a copy of your database. Only after the system has passed our testing will we roll it out to your database for end user testing and refinement.

Implementation Phase

We schedule implementation at times that do not inconvenience your staff. Using remote access software from GoToAssist, we will connect at the close of the workday and by the next morning, we will be finished with the implementation. Basha Systems follows best practices on implementations, including backups, index rebuilds, and use of feature packages.

Training Phase

Training is usually done in conjunction with the Implementation Phase. We instruct users on how to use the system to generate work product, and how to use built-in help or on-line support mechanisms when needed.

Document Assembly Systems

Design Phase

During the design phase, we perform an extensive review of all of the department or firm’s work product in a particular practice area, focusing on those matters which, by their repetitive nature and high potential profit margin, lend themselves to automation.

Development Phase

Master interviews, clause libraries and templates are put together according to a schedule developed in the Design Phase. Work is usually done off-site, with minimal interference with attorney billable work.

Testing Phase

Master interviews, clause libraries and templates are exhaustively tested by firm personnel according to testing protocols developed by Basha Systems. These protocols are designed to ensure that all possible user responses are covered.

Implementation Phase

When the Expert Systems have been finalized and approved, we recommend a phased rollout scheme to put the tools into production.

Training Phase

Training is usually done in conjunction with the Implementation Phase. We instruct users on how to use the system to generate work product, and to use built-in help or on-line support mechanisms when needed.

Complete documentation, training manuals, and multimedia presentations can be included in a training phase.
